What it checks

ColumnWhat it does
Clean emailLowercases the address and removes stray spaces, including the invisible ones that come from web pages.
FormatFlags addresses that can't work: a missing or doubled @, spaces inside, no dot in the domain.
Duplicate?Marks every copy after the first, ignoring capital letters and spaces.
Typo fix and Suggested emailSpots misspelled providers like gmial.com or yahoo.con and writes the corrected address next to it.
Role address?Marks general inboxes like info@, sales@ and office@ so you can decide whether to keep them.
StatusOne word per row: Looks good, Fix typo, Fix format, Remove (duplicate) or Keep? (role address). Filter on it to work through each group.

How to use it in Excel

  1. Download the file and open it in Excel. If Excel shows a yellow "Protected View" bar, click Enable Editing.
  2. Go to the My list tab, select cells A2 to A7 and press Delete to clear the six example emails. Don't delete the rows themselves.
  3. Paste your addresses into column A, starting in cell A2. Paste values only if Excel asks.
  4. Click the filter arrow on Status and pick a group to work through it.

How to use it in Google Sheets

  1. Go to Google Drive and choose New > File upload, then pick the downloaded file.
  2. Open it, and if Drive opens a preview, choose Open with > Google Sheets.
  3. Follow the same steps as in Excel: replace the examples in column A with your list and filter on Status.
Tip: the Typos and Roles tabs are lists you can edit. Add a misspelled domain you keep seeing, or remove a role name you want treated as a person.
